How it works

A typical first build

This is the order I'd build it in for a shop like yours, one piece at a time, while the trucks keep rolling. It's a plan, not a promise of dates: how long each step takes depends on how much you start with.

Step by step

From the first call to the keys

  1. Free 30-minute call

How your shop runs, what it pays for today, which motor clubs you bill, and what's worth automating first.

  2. Mutual NDA and a written quote

We both sign the NDA. You get the one-time setup fee and an estimate of build hours at $80 an hour, for the pieces you picked.

  3. Your server and accounts, in your name

A server you own or rent directly, plus the phone, AI, and bank-data accounts the system needs. You hold every login from day one.

  4. Towbook and your billing portals connected

The system starts reading your Towbook jobs and your motor-club dispatches, one club at a time.

  5. Billing pre-fills run alongside your biller

For a while your billing person does it the old way and checks every pre-filled invoice against it. Nothing goes out until they trust it.

  6. Phones, crew ring, and the AI, after test calls

Your main line rings your crew first, and the AI picks up what they miss. We make test calls together before a real customer ever hears it.

  7. Payroll, books, and ads, one at a time

Each piece goes live only once it's proven on your real jobs, and the tool it replaces is cancelled or downgraded after that, not before.

  8. Training as each piece goes live

Your dispatcher, your billing person, and you each learn the parts you touch, on your own numbers.

  9. Handover

The system runs on your server with written runbooks for your team. Then it's your call: run it yourself, or keep me on for maintenance and improvements by the hour.

The pieces are the ones running at Athena Towing today. The order is how I'd build yours, adjusted for your software, clubs, and crew.

Why billing goes first

It's the fastest win and the easiest to measure. Your billing person can time it against the old way, and the deadhead miles are on every pre-filled invoice. How motor-club billing works.
